About event
Switch to Space is an event that is organised by YouSpace in Belgium. Its main goal is to build bridges between the space industry experts, students and young professionals. The event is held every two years.
What did WIT Berry team do?
WIT Berry’s team was responsible for all the communication activities for this event.
The Challenge
This was the second Switch to Space event. Due to COVID-19 crises we had limit the presence of people, organise an online event and of course bring it to a higher level as we already had an experience and knowledge acquired from the first Switch to Space event in 2018.
The Outcome
More than 1000 people attended this event (both online and offline from more than 30 different countries), including high-ranking space professionals, CEOs of top space companies in Belgium, ESA, EC, GSA, universities and most importantly – the students and future space professionals and experts.
The tasks that WIT Berry's team implemented
Website
One of the most important tasks was to update the website. We archived all the information about the previous event and created registration forms, descriptions for different topics, information about sponsors and so on.
Communication Strategy
One of our first aims was to create a communication strategy as before taking any action we had to know when, who, why and how tasks will be implemented in order to achieve the anticipated results.
Communication with Sponsors
The relations with sponsors required special attention. Each sponsor had a a list of promotional possibilities they could use. Our team managed that all the sponsors were visible and got the attention from their target audience.
Social Media Communication
We managed the social media communication Twitter, LinkedIn and Facebook. We introduced all the speakers, topics, sponsors as well as created dedicated events.
Brand Book
The Switch to Space needed a slight style update for the second event. Thus, we updated the logo, defined colours, created templates for communication power point presentations, letters etc.
Exclusive content
We collected and created a document with exclusive content - career, internshop and educational opportunities. This document with useful tips and tricks was sent to all the attendees.
Roll-ups & videos
To promote event we created some videos that were posted on social media. Roll-ups were printed for onsite events in order to brand the environment and promote sponsors.
Brochure
Although, the event was online, we created a PDF brochure with the most information - topics, speakers, presentation descriptions, organisers and of course sponsors!
Email Newsletters
An e-mail newsletter sequence was created to keep the attendees up-to date with the latest news. They also received reminders about the event and exclusive information with real career opportunities.
Thanks to Linda and the quality of her work, the event that we organized was a real success: Switch to Space 2 gathered hundreds of people from all around the world. She provided very high-quality graphic material (templates for presentations, posters, brochure, etc.) and her abilities with social media communication did the rest perfectly. Linda is also a very good team worker and has equally outstanding personal qualities, Every organizer of a large-scale event should have someone like her in the team!
